Assistant Property Manager/PM

San Diego, CA

A private real estate investment firm focused on the acquisition, development and management of retail, office and infill mixed-use properties in select West Coast markets with 10 years of experience in San Diego, is looking for an Assistant Property Manager to join their growing team and provide support to their portfolio and property initiatives.

Responsibilites

  • Coordinate tenant move ins and move outs

  • Respond to tenant needs and coordinate with maintenance vendors to resolve problems

  • Maintain positive relationships and high retention levels with all tenants

  • Respond to tenant concerns and ensure compliance with rules and regulations

  • Assist the Property Management team with the ongoing promotion of client relations and administration of the Lease Agreement

  • Responsible for the collection of rent, follow up on delinquencies, process late fees when necessary

  • Assist with the payment of expenses

  • Prepare tenant move out including security deposit refund/reconciliations

  • Assist with the preparation and development of property budgets, forecasts, annual operating expense billings/reconciliations

  • Assist with preparation of monthly/quarterly performance reports and property accruals

  • Review monthly rent charges for compliance with lease schedules and submit changes to Manager for approval

  • Oversee the calculation of all tenant sundry expenses and special billings

  • Assist in the oversight and delegation of duties to third party vendors

  • Keep Manager informed regularly of property activities and support Manager in all aspects of running the properties

  • Perform regular inspections of properties to monitor for maximum performance and efficiency

  • Recommend and assist in the coordination of alterations, maintenance, and reconditioning of property as necessary and in coordination with the Manager

  • Assist with monitoring compliance with lease terms and preparation of required notices

  • Assist in the procurement, administration and maintenance of all service contracts, purchase orders and construction contracts

  • Make thoughtful, prompt and systematic decisions under time constraints

  • Present alternative solutions to problems and consider the impact of decisions

  • Articulate ideas; both verbal and written, in a clear and understandable manner

  • Has good listening skills and facilitates communication

  • Share information with others, seek out feedback and constructive criticism. Use diplomacy, tact and negotiates effectively.

Requirements

  • 2+ years prior work experience in Property Management

  • Bachelor’s degree or equivalent experience

  • Strong written and verbal communication skills with the ability to convey information concisely

  • Highly organized with a demonstrated ability to prioritize and multi-task

  • Strong work ethic and ability to work in dynamic, entrepreneurial team environment

  • Proficiency in Microsoft Office. Experience with MRI, Avid Xchange preferred
