A luxury resort owner is looking for a Design Manager/Coordinator to manage the design, sourcing, purchase, delivery, installation and other logistics of products and goods consistent with the standards of first-class resort hotels and golf course properties and to ensure that projects are completed in a timely manner and in accordance with approved scope, schedule, budget and specifications. This key player will routinely perform office or non-manual work that directly relates to the Company’s general business operations and will customarily and regularly use discretion and independent judgment in performing the job.

Responsibilites

  • Provide complete oversight and take full responsibility for the furniture, fixture and equipment (FF&E) portion of assigned capital projects.

  • Provide project management assistance as needed on other projects. Assistance includes but is not limited to providing general support for project management leads and coordinating with general contractors, designers, architects, engineers, property operations, and the Corporate Executive Team.

  • Perform design coordination work by working with interior designers and the Corporate Executive Team on FF&E concept approvals, sourcing materials and vendors, and taking the lead on ordering, expediting, and installation.

  • Serve as lead on FF&E project budgets, budget tracking, reporting, capital approvals, bid solicitation, requests for proposals, vendor bidding, and vendor evaluations.

  • Work with Corporate legal on contract review and negotiation.

  • Assist in the creation of floor plans and furniture layouts, to research and source purchases.

  • Serve as owner’s representative on purchase orders, specifications, shop drawings, punch lists, and project close out matters.

  • Research and source purchases of operating equipment, furniture and fixtures and to make recommendations.

  • Review the design and specifications to ensure that the products and goods purchased meet the standards of first-class resort hotels and golf course properties.

  • Prepare scope, schedule, budget, drawing and specification documents for capital projects and to review these documents with the Corporate Executive Team and General Manager of the appropriate property.

  • Lead and coordinate FF&E design, procurement and purchasing efforts from concept to completion, including preparation of agendas, administration of design/ownership meetings, and after meeting follow up with attendees as necessary to stay on budget/schedule.

  • Establish and expand the existing design library of suppliers and vendors.

  • Conduct quarterly site inspections of resort properties to check quality, condition and to ensure that furniture layouts are consistent with design intent.

  • Source and purchase FF&E within approved budgets and update, as needed, to ensure all project costs are accurate.

  • Keep accurate and up-to-date inventories of FF&E for the properties and storerooms.

  • Keep floor plans and furniture layouts for all public areas and each guestroom type.

  • Keep an updated spec book for each property.

  • Participate, as directed, in annual capital planning process.

  • Generate, process and track Purchase Orders.

  • Obtain approval by the property General Manager and Director of Acquisitions & Asset Management of each purchase prior to making a purchase commitment.

  • Follow-up on delivery dates and to update the Master “Pending P.O.” List with estimated delivery dates.

  • Obtain approvals on invoices and to route the invoices to the appropriate hotel or golf course properties.

  • Follow-up with the respective accounting departments to ensure that invoices are paid in a timely manner.

Requirements

  • Previous hotel/resort experience preferred.

  • College coursework in design or equivalent certification.

  • High school diploma or equivalent required; college degree strongly preferred. 

  • Familiarity with luxury resort quality, merchandise and demonstrate purchasing skills. 

  • Skilled at creating design, concepts and color schemes for review. 

  • Ability to read interior construction documents

  • Experience with Excel, Photoshop, PowerPoint, creating floor plans, drawing and communicating design intent efficiently and effectively (Revit, CAD, Sketchup, and especially freehand hand scale drawing skills are all highly valued), and reviewing construction documents, space plans and technical/shop drawings.
