Property Administrator
San Diego, CA
A privately-owned commercial real estate company is looking for a Property Administrator to be a part of their storied and close-knit team. The administrator will support both property and office initiatives for a retail and industrial portfolio. Exposure to property management and an understanding of the terminology would be beneficial for a smooth transition. The administrator will support duties related to leases, insurance, accounting, and vendor management. They will also provide office and admin support to the office and Trustee (phone calls, calendar management, data tracking, etc).
Responsibilites
Coordination of daily, quarterly, semi-annual and annual property maintenance
interface with property security on a daily basis as needed
invoice coding and processing
pick up from post office, open and distribute all mail
receiving calls from tenants, vendors, suppliers, prospective tenants, etc. and process accordingly for resolution
coordination, distribution and processing of fully executed lease & lease related documents to maintain current process
filing
code compliance
fire life safety compliance
draft memos and letters and coordinate distribution to tenants, vendors, etc. as needed
management of blueprint inventory, site plans,
tenant lease compliance
working on the preparation of monthly reports and annual budgets
assist outside leasing agent by providing property information, plans, etc., as needed
interface with accounting – knowledge of MRI software helpful
computer skills to include proficiency in Word, Excel, Outlook and Outlook Calendar
interfacing with the property manager on various other tasks
Requirements
5+ years of experience in an administrative support capacity
Experience in real estate industry a plus
Proficiency with property management/accounting software; preferably MRI; Excel and other MS Windows applications.
Excellent verbal, written and organizational skills.
Ability to work in a close-knit, collaborative environment
